How Impartis handles account information, uploaded research, generated work, support access, and deletion during evaluation and pilot use.
What Impartis processes
Impartis processes account and workspace information, uploaded research files, research metadata, extracted findings and claims, generated communication, review decisions, collaboration activity, integration settings, and operational/audit records needed to provide the service.
How the information is used
Workspace information is used to store and organize research, extract source-bounded evidence, support search and synthesis, generate communication requested by authorized users, route human review, provide collaboration features, enforce permissions, operate integrations, diagnose failures, protect the service, and maintain an audit trail.
AI-assisted extraction and generation may send the minimum material required for the requested operation to model-processing services made available through the Impartis hosting platform. Human approval remains required for governed scientific and communication workflows.
Institution and personal visibility
Team research can be Personal, Restricted Team, or Workspace-visible. Institution Library and Institutional Needs use only research explicitly set to Workspace visibility. Personal and Restricted Team research remains outside institution-wide surfaces except for users separately authorized to access that record.
Support and administrative access
Impartis platform administrators are designed to use operational views that show service health, tenant configuration, and counts without opening customer research content. Authorized Story Stroll/Impartis personnel may nevertheless access workspace content when reasonably necessary to investigate a support request, security incident, legal obligation, or service-integrity problem. Pilot participants should treat this as limited support access, not as a zero-access hosting model.
Service providers
Impartis relies on infrastructure, authentication, storage, model-processing, and integration providers to operate the product. Those providers may process information on Impartis's behalf to deliver the relevant service. Your institution may request the current pilot data-processing/vendor summary from its Impartis pilot contact.
Retention, export, and deletion
Institution administrators can record retention intent, generate a workspace export, place an administrative deletion hold, and request workspace deletion. Impartis can remove tenant database records and stored file references through its governed offboarding workflow. The underlying hosting platform does not currently expose a physical private-object deletion API to Impartis; retention or destruction of those underlying storage objects is therefore also subject to the hosting platform's retention controls. Impartis does not represent an application-level purge as guaranteed physical media destruction.
Pilot data restrictions
Do not upload regulated or highly sensitive data during a standard pilot unless separately approved in writing. This includes protected health information, student education records containing personally identifiable information, export-controlled material, government-classified information, passwords or secrets, highly sensitive participant identifiers, or information your institution is not authorized to place in a third-party research-communication system.
